Who we are
Leisa Reichelt (sole trader, ABN 84 844 947 302) provides professional coaching for people working in UX research and adjacent roles. In this policy, “we”, “our” or “I” refers to Leisa Reichelt.

This policy explains how I collect, use, disclose and protect personal information. It is written to align with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). Even if the small‑business exemption applies, I choose to follow these principles. This is general information, not legal advice.
1) What this policy covers
- Coaching services delivered one‑to‑one or in small groups.
- Online interactions with my website and scheduling/meeting tools.
- Enquiries sent by email or via my site/forms.
It does not cover third‑party websites or services that have their own privacy policies.
2) The information I collect
I aim to collect the minimum reasonably necessary to deliver coaching.
Identity & contact: name, email address, role/title, organisation, country/time zone, and phone number (if provided).
Booking & logistics: your availability and scheduling preferences; session dates/times; meeting links; rescheduling history.
Coaching context: your goals, topics you choose to discuss, agreed actions, and minimal coaching notes I keep to support continuity.
I do not record sessions unless you request a recording and we both agree in writing (see Section 8).
Commercial & payment: purchase history, invoices, and payment confirmations. Card/bank details are processed by my payment provider and are not stored on my systems.
Website & analytics: basic usage data (pages visited, device/browser, referrer) and cookies/locally stored data used to operate the site and improve it. See Section 6 (Cookies & analytics).
Communications: emails or messages you send and my replies.
Employer‑funded coaching (if applicable): administrative details needed to invoice and schedule. Coaching content remains confidential unless you consent to share specific information.
I avoid collecting sensitive information. If you choose to share sensitive details in the context of coaching, I will handle them with care and limit any notes to what is necessary to support our work.
3) How I collect information
- Directly from you when you enquire, book, or work with me.
- Automatically when you use my website (through your browser and cookies/analytics).
- From third parties where you ask or allow this (e.g., a colleague introduces us, or an employer purchases a package on your behalf).
4) Why I use your information
- To provide and manage coaching sessions, including preparation and follow‑up.
- To schedule meetings, send confirmations, and manage changes.
- To issue quotations/invoices and process payments.
- To respond to enquiries and provide customer support.
- To operate, secure and improve my website and services.
- To comply with legal/record‑keeping obligations (e.g., taxation).
- With your consent, to send occasional updates about services (you can unsubscribe at any time).
If you are located in the EEA/UK, I generally rely on contract, legitimate interests, consent (for optional communications), and legal obligations as relevant lawful bases.
5) Sharing and disclosure
I do not sell personal information. I may disclose limited information to:
- Service providers/‘processors’ who help me run the business (e.g., email, file storage, scheduling, video meetings, payment processing, website hosting/CDN, analytics). They are only permitted to use the data to provide their service.
Current categories include: email & productivity, scheduling, video conferencing, payment processing, website hosting/CDN, and analytics.
- Your employer only with your written consent and only the specific information agreed (for example, high‑level progress updates for employer‑funded packages).
- Legal/regulatory recipients where required by law or to protect rights, safety or security.
- Business changes (rare): if I restructure or transfer part of the business, relevant records may transfer under confidentiality and subject to this policy.
6) Cookies & analytics
My website may use cookies or similar technologies to:
- keep the site secure and functioning;
- remember preferences (e.g., time zone); and
- understand aggregated usage so I can improve content and usability.
You can control cookies via your browser settings. Blocking some cookies may affect site features. If I use third‑party analytics or embedded services, those providers may set their own cookies per their policies.
7) Storage, location & security
I use reputable cloud services and take reasonable steps to protect personal information against loss, misuse and unauthorised access. Data may be stored in Australia and in other countries where my service providers operate (for example, New Zealand, the EU and the United States). Where feasible, I choose providers with strong security practices and appropriate contractual safeguards.
8) Retention & recordings
- Coaching notes: retained for up to 7 years after our engagement ends, then securely deleted or de‑identified (unless the law requires a longer period).
- Financial records (e.g., invoices): retained for at least 5 years to meet tax obligations.
- Session recordings: not made unless you request a recording and we both agree in writing. If made, we will agree how long it is kept, who can access it, and how it will be deleted.
9) Your choices & rights
- Access & correction: You can request access to the personal information I hold about you and ask me to correct it if it’s inaccurate, out‑of‑date or incomplete. I may need to verify your identity before providing access.
- Communications: You can unsubscribe from non‑essential updates at any time (instructions will be included in the message).
- Cookies: Manage via your browser/device settings.
If you are in the EEA/UK, you may also have rights to erasure, restriction, objection, and portability in certain circumstances. Contact me to exercise any of these rights.
10) Making a privacy complaint
If you have a concern about how I handle your information, please contact me first at leisa@leisareichelt.com so I can try to resolve it. If you’re not satisfied, you can contact the Office of the Australian Information Commissioner (OAIC). Details are available on the OAIC website.
11) Children & minors
My coaching is for professionals. I do not knowingly collect personal information from children. If I agree to work with a person under 18, a parent/guardian must provide consent and may be involved in the intake process.
12) Changes to this policy
I may update this policy from time to time to reflect changes to my practices or legal requirements. The “Effective date” at the top shows when this policy last changed. Significant changes will be highlighted on the website for a reasonable period.
13) Summary of third‑party services (for transparency)
To deliver the services, I may use:

- Scheduling: Calendly
- Video conferencing: Zoom
- Payment processing: Hnry (I do not store card/bank details)
- Website hosting/CDN: Cloudflare
- Analytics: Cloudflare
I will keep this list broadly accurate and up to date. Specific vendors and sub‑processors may change over time. If you have questions about particular providers or data locations, please contact me.
